DiamondFrame privacy notice

How DiamondFrame uses information to provide private baseball and softball player-development tools.

Last updated September 2, 2026

Information DiamondFrame handles

DiamondFrame stores information supplied by coaches, players, and account administrators, including names, email addresses, optional phone numbers, profile photos, team and roster information, invitations, and account activity.

Uploaded and recorded videos, thumbnails, notes, trims, and coaching markups are used to provide the private video review and player-development experience.

We also process limited technical information needed for security, reliability, support, and troubleshooting, such as browser details, IP addresses, sign-in events, communication delivery records, and audit history.

How information is used

  • Provide team, roster, player profile, video, and analysis features.
  • Authenticate accounts, prevent misuse, and protect private team content.
  • Send invitations, password recovery, security, account, and optional reminder messages.
  • Respond to support requests and diagnose service problems.
  • Understand product use and improve DiamondFrame when analytics consent is granted.

Google Analytics and your choice

On the production website, DiamondFrame may use Google Analytics to understand general feature and page usage. The analytics tag is not loaded unless you choose Allow analytics. It is not loaded on staging, Developer Mode pages, developer previews, or sessions signed in as a platform administrator.

DiamondFrame does not intentionally send player names, email addresses, phone numbers, or video content to Google Analytics. You can decline analytics or reopen Privacy choices from the site footer at any time. A changed choice applies to future collection in that browser.

Email choices

You may turn off optional reminders and status updates through the Manage optional emails link included in DiamondFrame email. Essential messages—such as account invitations, password resets, password-change confirmations, and security codes—may still be sent because they are needed to provide or protect your account.

A coach can see when a player has turned off optional email, but cannot reverse that choice. You can resubscribe yourself from your private email-preference page. A DiamondFrame developer may restore optional email only after recording that you specifically requested it.

Sharing, storage, and retention

DiamondFrame uses service providers to operate hosting, email delivery, media storage, and optional analytics. Information is shared only as needed to provide those services, comply with law, protect the service, or respond to a valid legal request. DiamondFrame does not sell player video or contact information.

Information is kept for as long as needed to provide the service, maintain security and audit records, meet legal obligations, or resolve disputes. Retention may vary by record type and team relationship.

Players, minors, and account administrators

Teams and coaches may manage information for youth players. The organization responsible for the team should obtain any permission required to create profiles, upload videos, and invite players. Parents, guardians, players, or coaches with privacy questions should contact the team administrator or DiamondFrame support.
